Volunteers

Overview

Clearance can take between one week to 45 days to complete. Volunteers may not begin providing volunteer services until the school site has received confirmation from Human Resources that all required clearances have been completed. Please allow sufficient time for the completion of all requirements.

1.0 Level 1: Limited Volunteer Requirements and Responsibilities

Level 1: Limited Volunteer must remain under the supervision of an AUSD employee.

Infrequent visits to their students’ classes or their school’s special events.

1.1 Level 1 volunteers are managed entirely at the school-site level. It is the school site’s responsibility to ensure all Level 1 volunteer requirements are completed in accordance with district procedures.

1.2 School Site Responsibilities:

• Distribute the Limited Volunteer Information form. Collect and maintain the completed form at the school site.

• Keep a copy of a current/valid photo identification with volunteer form.

• Complete Megan’s Law check.

• Site Administrator must approve all volunteer forms.

2.0 Level 2: Ongoing Volunteer Requirements and Responsibilities

Level 2: Ongoing Volunteer – May occasionally be unsupervised

Classroom volunteer (frequent, regular, or weekly), chaperone for field trip or school dance.

2.1 Volunteer Requirements - Volunteers are responsible for all costs and fees associated.

• Complete FM3000 - AUSD Volunteer Application.

• Complete Live Scan (fingerprinting) clearance.

• Provide completed TB Test/Risk Assessment Form.

• Provide a copy of current/valid photo identification.

• Complete the required Mandated Reporter Training on Keenan SafeSchools

• Must follow school site specific check-in policies, field trip instructions and chaperone guidelines.

2.2 School Site Responsibilities:

• Distribute, collect, and maintain the FM3000 - AUSD Volunteer Application with a copy of a current/valid photo identification.

• Provide volunteers with the TB Test/Risk Assessment Form.

• Provide volunteers with the Request for Live Scan Services Form.

• Complete Megan’s Law check.

• Site Administrator must approve all volunteer forms.

• Forward a list of volunteers awaiting clearance each Friday to Christine Todd at christinetodd@antiochschools.net. Volunteer names should only be submitted on Fridays.

2.3 Human Resources Responsibilities:

• Verify fingerprint (Live Scan) clearance.

• Verify a negative TB clearance was received.

  • Note: Volunteers may submit their completed TB documentation directly to TB@antiochschools.net, or the school site may submit via pony to CERT HR.

• Email volunteers the link to complete the required Mandated Reporter Training on Keenan SafeSchools

• Christine Todd will notify school sites each Monday of all volunteers who have successfully completed the clearance process and are approved to volunteer.

3.0 Level 3: Ongoing Volunteer with Authorization to Transport Students Requirements and Responsibilities

Level 3: Ongoing Volunteer with authorization to transport students does not require AUSD staff supervision.

Volunteer driver for athletic events or field trips.

3.1 Volunteer Requirements - Volunteers are responsible for all costs and fees associated.

• Complete FM3000 - AUSD Volunteer Application.

• Complete Live Scan (fingerprinting) clearance.

• Provide completed TB Test/Risk Assessment Form.

• Provide a copy of current/valid photo identification.

• Complete the required Mandated Reporter Training on Keenan SafeSchools

• Must follow school site specific check-in policies, field trip instructions and chaperone guidelines.

• Meets District requirements for Transportation for School Related Trips, including auto insurance coverage level requirements.

3.2 School Site Responsibilities:

• Distribute, collect, and maintain the FM3000 - AUSD Volunteer Application with a copy of a current/valid photo identification.

• Provide volunteers with the TB Test/Risk Assessment Form.

• Provide volunteers with the Request for Live Scan Services Form.

• Complete Megan’s Law check.

• Complete DOT testing.

• Notify the site when the volunteer has passed DOT testing.
